Common Concur & EACS Issues

Dear Colleagues,

Business & Financial Services (BFS) continues to receive support tickets related to recurring Concur and Enterprise Access Control System (EACS) issues. To help reduce confusion and avoid delays, Concur Delegates and Department Security Access Administrators (SAAs) are encouraged to review the following key reminders.

Delegate Cap in Concur

Each user can be assigned as a Delegate for up to 250 people. If someone is unable to act as a Delegate even though appropriately assigned in EACS, they may have reached this limit.

While there is currently no report to show Delegate counts, departments—especially those assigning Delegates to the “All” record across large and/or multiple groups—should plan accordingly. BFS has submitted a request to explore the development of a campus-wide Delegate count report.

As a reminder to the Dept. SAAs, please remember that users must have both a Concur Delegate role, as well as be assigned as a Concur Delegate to a routing in the “Concur Routing” setup. Just assigning the role will not grant them access to users in the respective accountability structure.

Role Removal Sync Issue (EACS & Concur)

If an SAA removes someone from a Concur Routing row (e.g., Concur Delegate, Financial Previewer or Financial Approver) but does not remove the corresponding Concur role from the user’s profile, the update won’t sync correctly.

To ensure changes are properly reflected in Concur, both the Routing row and the user’s roles must be updated in EACS.

Additional Access and Role Reminders

  • Users need the Concur User role to access the system
  • The Concur Delegate role is required to book travel or submit reports for others
  • Financial Previewers are optional, but once assigned, they are required for report approval
  • Concur Delegates who prepare or submit reports cannot also approve those same reports
